Until quite recently, there was no other way to do project management other than to use pencil, paper and a calendar. Computer software brought us advances that led to project management software packages such as Microsoft Project, Open Workbench and FastTrack Schedule. These packages help businesses save effort in organizing projects, tracking progress and collaborating efficiently.

A Gantt chart is a horizontal bar chart developed as a production control. It is frequently used in project management. It provides a graphical illustration of a schedule that helps to plan, coordinate, and track specific tasks in a project. Gantt charts may be simple versions created on graph paper or more complex automated versions created using project management software.

Business people who are familiar with more traditional approaches may not understand the benefits of project management software. The project management software really helps even novices be able to participate in project management quickly. It allows people to get a jump start on organizing a new project, or check on status of an existing project, or see how they can help out, all without requiring a major effort to get up to speed. Project management software offers a consistent structure to project management so it's easy to have reliable and easy access to project status information.

The planning phase is the most essential stage for any project and should encompass all possible situations. There is currently project management software available that makes this process less intensive and ensures that all possible elements are included. The software can pinpoint elements that would have gone unnoticed or disregarded. This software will ensure that all elements are included in an organized manner.

Programs that handle business management tasks are a good way to ensure continuity. As a training tool, they allow scalable changes in a business while maintaining protocols and work flow between experienced and new employees. Training on the software can also improve the performance of seasoned employees who may not be reaching their potential. Planning software greatly increases efficiency by defining the most efficient way to reach a goal and which tasks need to be completed, depicting the critical path using a PERT chart. They also optimize manpower for each task so employees are not wasting their time on jobs that should be accomplished by a smaller team. The planning itself is also streamlined by the software.

Determining the best plan for running a business can be very subjective. That is especially apparent when it comes to monitoring project progress, in which someone's timely performance may appear to be ineffective to others. Using project-management software can define feasible deadlines and progress standards so that personal interpretation and bias is minimal.
